This notice outlines the privacy policies and practices applied by the Town of Mount Royal (hereinafter the “Town”) in connection with this service (hereinafter the “Service”).
2. Personal Information Collected
Information that relates to an individual (hereinafter the “User”) and allows that individual to be identified, directly or indirectly, is considered personal information (“PI”).
The Service does not require or collect any PI not voluntarily provided by the user.
3. General Information Collected
Information that does not concern the User and does not allow the User to be identified is considered general information (“GI”).
The Service collects only the GI voluntarily and explicitly provided by the User while using the Service.
4. Uses and Retention
The Town collects and uses GI to:
- Analyze citizen requests;
- Optimize citizen services.
The GI collected is retained in accordance with the privacy policy and is accessible only to Town staff members who require access as part of their duties.
GI is accessible in real time to all authorized staff members for 30 days. It is then retained and accessible upon request for up to 365 days.
5. Explicit Consent
Use of the Service requires explicit consent provided by the User. By fully accepting the terms and conditions of the Notice Regarding the Use of the Conversational Agent, the User agrees not to provide any PI concerning themselves or any other legal or natural person.
6. Limitation of the Town’s Liability Regarding PI
Since the use of the Service does not require or collect any PI, the User should not provide any PI to the Service. If the User voluntarily provides PI, the Town cannot be held liable under any circumstances.
7. Limitation of the Town’s Liability Regarding Responses Provided
The Service analyzes and processes the municipal data made available to it to respond to the User’s queries and requests.
The responses provided by the Service may be inaccurate or incomplete.
The Service provides information for reference only. The User should not rely solely on this information and must always verify it with official sources or contact the Town to obtain accurate and precise answers.
The Town disclaims any responsibility for errors or omissions in the responses provided by the Service and cannot be held liable for any actions taken based on the information provided.
